Manage transport service demands from receipt of transport orders to allocation of carriers, execution and receipt of POD (proof of delivery) as per SOP’s and KPI’s set by the company.
Key responsibilities / Accountabilities:
- Provide accurate and timely advice and information on transport order status to customers in an effective manner
- Proactively manage transport order allocation, acceptances and execution processes with dispatch to ensure timely pick-up and delivery of products
- Communicate in a clear and concise manner
- Overall responsibility for road transport planning as per set standard operating procedure
- A high level of analysis and judgement in planning for road transport orders
- Effective and efficient use of systems and pre-defined business processes in allocating and executing transport orders to ensure optimal cost and service outcome for customers
- Identify day to day potential service delivery risks and proactively exception manage those transport orders to mitigate those risks and costs
- Proactively seek capacity information from carriers using systems and other communication means to identify capacity risks against known demand profile
- Ensure safe and compliant execution of transport order requirements
- Maintain carrier rate schedules, site information, route information and other master data integrity with regards to transport order receipt, allocation and execution
- Consideration of overall outcome
- Prepare and update reports and other information to support day to day decisions
- Ability to prioritise and manage workload effectively
- Delivering results in accordance with customer and business KPIs
- Act consistently and monitor trends
- Work as an effective/cooperative member of a team
- Proactively communicate any potential service failures to management/team leader
- Develop and maintain good working relationships with internal and external stakeholders (carriers and customers)
- Provide feedback and raise issues in a timely manner
- Practice safe work methods and help management to eliminate workplace hazards
- Ensure H&S procedures are adhered to at all times
Skills / Experience / Qualifications:
- Logistics / Transport experience (container or rail is desirable)
- WMS / TMS systems experience
- Process driven with ability to work in a high-pressured environment
- Professional written and verbal communication skills
- Prior experience using transport order management, allocation and execution business systems
- Exercising sound judgement to make consistent and robust decisions
- Customer service focused and ability to adapt service level and style to meet multiple client expectations
- Experience working with multi-faceted customer and supplier environments to carry out day to day responsibilities
- Outstanding interpersonal and communication skills, particularly the ability to communicate with multiple carriers with varying degree of communication capabilities to meet the customer service demands in timely manner
- Excellent self-management skills, including working effectively without direct supervision, managing and organising fluctuating workloads
- Ability to establish priorities and meet deadlines in line with good customer service principles
- Sound analytical skills, intermediate level of Microsoft applications
- Team player with the aptitude to communicate at all levels
